Purpose of the Role:
The Senior Associate Purchase Ledger plays a pivotal role in supporting the Purchase Ledger Team Leader to deliver robust financial control services, gain valuable insights, and accurately recording of all purchase ledger invoices. This involves critical tasks such as reconciling key supplier accounts, diligently monitoring the inbox, and promptly addressing supplier inquiries. Effective communication with various departments within the organisation and external stakeholders is also key aspect of this role.
As part of our continuous improvement, the role will be an important part in identifying and driving transformation within the finance function, in order to streamline and maximise resources.
Role Dimensions:
- Supervision: This role includes overseeing two Direct Reports
- Work Arrangement: We have adopted hybrid working across the team; however, flexibility to work hours will be required to meet the operational demands of the teams that you support.
Principal Accountabilities:
The post holder will be responsible for:
- Accurate processing of invoices and credit notes in both GBP and foreign currencies, with a focus on correct account coding,
- Maintaining and reconciling of key Purchase Ledger accounts with supplier statements and payments,
- Responding to escalated queries, and liaising with Purchasing Team on price and quantity variances,
- Monitoring and managing outstanding credits owed to the Company,
- Assisting in the review of accuracy and completeness of bi-weekly payment runs
- Responsible for the month-end closing tasks such as GRN and Invoice Accruals.
Developing systems and controls within the department
- Assisting the Purchase Ledger Team Leader in streamlining end-to-end purchase ledger processes,
- Developing financial systems and processes to improve efficiency, performance and repeatability of tasks within the department,
- Contributing to finance team meetings and supporting the work of other team members as necessary,
- Overseeing of the company’s risk assessment policies for Purchase Ledger processes.
Staff management
- Managing and developing two direct reports in the team, setting appropriate and challenging objectives, with regular appraisal and tracking of performance objectives,
- Providing clear instructions and direction to employee to ensure the appropriate prioritisation of work,
- Assisting the Purchase Ledger Team Leader in developing the strategy for the Accounts Payable department within the Central Finance Team.
Job requirements
Knowledge, Skills and Experience:
The post holder will have:
- Extensive experience of purchase ledger experience
- Experience working with systems and processes that are undergoing change,
- Ability to identify and implement continuous improvements to key day to day activities,
- Ability to communicate effectively, both verbally and in writing, with internal and external stakeholders,
- Excellent analytical and problem-solving skills with strong attention to detail,
- Proactive mindset and strong organisational skills with the ability to work independently and manage multiple priorities in a dynamic environment,
- Team player, supportive of others within the team.
- Comfortable working in a fast-paced environment.
- A track record of getting things done against tight deadlines.
- Competent IT skills, including but not limited to Microsoft Word, Excel and PowerPoint
- Experience of using SUN Systems (Infor) would be an advantage.
